migrating educational SharePoint sites between M365 tenants

Hey everyone,

I’m currently managing a tenant-to-tenant (T2T) migration project for an educational institution. We are relocating several academic departments, course libraries, and faculty site collections from a regional education tenant into a newly restructured primary Microsoft 365 tenant.

If you’ve ever handled SharePoint migrations in an academic setting, you know the data isn't just standard documents. We’re dealing with deep subsite hierarchies, heavy document libraries filled with research papers and course materials, version histories, custom metadata, and strict permission structures for staff and students.

Our primary goal is to complete this cutover with minimal disruption to faculty workflows, complete preservation of file history, and zero data loss.

The Challenges We Faced with Native/Manual Methods

When we evaluated standard approaches, we ran into a few major friction points:

  1. Manual Export/Import Limits: Manually downloading and re-uploading libraries strips critical metadata like "Created By," "Modified Date," and original version history—which is a major compliance issue for institutional records.

  2. PowerShell Scripting Overhead: Writing custom scripts using PnP PowerShell or CLI for Microsoft 365 to handle hundreds of sites, permissions, and version histories becomes notoriously complex and prone to API throttling during bulk execution.

  3. Bandwidth and Throttling Limits: Running large batch transfers during production hours often triggers Microsoft Graph / CSOM throttling limits, stalling the migration pipeline.

The Solution: Shoviv SharePoint Migration Tool

To bypass these operational roadblocks, we opted for Shoviv SharePoint Migration Tool, and it proved to be the most efficient solution for our tenant-to-tenant cutover.

Here is why it worked so well for our educational environment:

  • Direct Tenant-to-Tenant (T2T) Connectivity: Using Modern Authentication (OAuth 2.0) and Microsoft Graph APIs, the software establishes direct stream connections between the source and target Microsoft 365 tenants—completely bypassing local storage staging.

  • Preservation of Academic Metadata & Permissions: It seamlessly transfers site collections, subsites, list items, views, web parts, version histories, and access control lists (ACLs) without altering original timestamps or user attributions.

  • Incremental Export (Delta Sync): We performed the initial bulk site data transfer over the weekend. On the day of the actual cutover, we ran Shoviv’s incremental migration pass. The tool scanned transaction logs and processed only newly added or modified course files, eliminating duplicate files and saving massive amounts of time.

  • Bulk Mapping via CSV: We pre-mapped complex source site URLs to target site collections using a simple CSV template, allowing us to execute multi-site batch migrations unattended.

  • Throttling Avoidance: Shoviv’s multi-threaded engine distributes API calls efficiently, preventing target tenant throttling during high-volume document transfers.

Final Verdict

If you are an IT admin, MSP, or educational systems engineer tasked with cross-tenant SharePoint moves, skipping complex manual scripts in favor of Shoviv SharePoint Migration Tool will save you countless hours and ensure full data integrity.

Has anyone else here completed a similar educational T2T migration recently? How did you handle user mapping and permission handovers? Would love to hear your thoughts and experiences!
